Administrator Executive

The main aim of the Administrator Executive is to be responsible for the amendments of services booked at the hotels throughout Europe. You will be responsible for the upkeep of a variety of databases and assist with the introduction and maintenance of future administrative tools. 

Duties and Responsibilities

  • Manage all amendments requests and cancellations sent to the centralized admin email address
  • Manage pre-payment requests 
  • Ensure that all the requests of room breakdown amendments are sent to hotels throughout Europe in a timely manner
  • Proactively try to resolve issues and unresolved amendments before forwarding them to the relevant Purchaser Executive.
  • Escalate all late cancellations to the relevant Purchaser Executive
  • Negotiate extension of free cancellation deadline with all hotels
  • Liaise with Operations, Accounts and Product-build department
  • Communicate clearly and precisely at all levels of responsibility to make sure that information is received and properly understood
  • Take initiative and action without being directed and to overcome obstacles by proactively providing appropriate solutions 
  • Liaise with hotels to add/change meals or porterage if the rates have already been contracted, otherwise forward the request to the relevant Purchaser Executive
  • Maintain an environment which supports the spirit of teamwork and where team members are committed , loyal and take pride in working for the company 
  • Ensure all amendments are promptly communicated internally to Operations/Sales Offices and externally to suppliers. 
  • Support teams when necessary

Experience and Skills

  • Fluency in English, spoken and written; excellent communication skills 
  • Excellent organizational skills, planning, prioritising and good time management
  • Ability to work individually and quick decision maker
  • Proactive thinker capable to cope well with under pressure and able to work with tight deadlines
  • Problem solving skills
  • Approachable manner with both colleagues, clients and suppliers
  • Flexible and adaptable to changing priorities
  • Applicant must be self-motivated, positive, confident and results driven
  • Word, Outlook, Excel
  • Any additional European language is an advantage
  • Good negotiation skills
  • Good knowledge of the hotel product, market, locations, group business and competitors highly desirable
